Our Methodology
How every Quietharbor engagement is structured.
Enquiry and Assessment
A written enquiry from the household is followed by a coordinator's response that identifies which engagement is most appropriate, explains the scope, and answers initial questions.
Engagement Letter
A written engagement letter is issued. Both parties sign before any on-site work is scheduled. The scope, session plan, fee, and deliverable are stated explicitly.
On-Site Sessions
The coordinator visits the household and works through the defined scope. Each session produces a clear output. The household is present and in control throughout.
Written Close
At engagement close, the coordinator issues the agreed written deliverable. The household retains this document. Nothing is retained by Quietharbor after the engagement ends.
Engagement 01
Annual Household Documentation Review
A once-a-year engagement for households whose filing system is broadly working but benefits from a professional review each year. The coordinator visits, walks through every category of stored paperwork, refreshes the active filing structure, archives material that has aged out of daily use, and produces a written annual summary of what was changed.
This engagement is designed for households that have established a working system and want an outside hand to audit and update it annually. The coordinator does not interpret records for any regulated purpose; the work is purely administrative.
What is included
- Single on-site visit from a documentation coordinator
- Full review of all household paperwork categories
- Updated active filing structure with archiving of older material
- Identification of any records that may need attention or replacement
- Written annual summary issued at engagement close
Engagement Fee
RM 980 per engagement
Best for
Households that already have a working filing system and want it checked, refreshed, and audited by an outside coordinator once a year. Particularly suited to households who have completed the Recovery Programme previously.
Best for
Households emerging from a difficult period — a bereavement, a move, an illness, a long absence — where paperwork has accumulated in disorder. Also appropriate for households that have never established a filing system and are starting from a disorganised baseline.
Engagement 02
Household Records Recovery Programme
A focused multi-session engagement for households whose paperwork has fallen into disorder. A documentation coordinator works on site across five sessions: sorting what is present, identifying what is missing, guiding the household through requests for replacement copies of standard public records through the correct civil channels, and producing a clean working filing structure at the close of the programme.
The programme is administrative in nature. Coordinators do not interpret documents or advise on regulated matters. The goal is a functioning filing system and a clear picture of what the household holds.

- Five on-site working sessions with a documentation coordinator
- Full sort and inventory of all existing household records
- Guidance on requesting replacement public records through the appropriate civil channels
- Establishment of a clean, working filing structure for the household
- Written programme summary and filing structure document at close

Engagement 03
Family Operating Routine Consultation
A three-session consulting engagement for households that want to build clearer routines around how documents are filed, how regular bills and statements are tracked, and how shared household responsibilities are recorded. Each session runs approximately ninety minutes, produces a small set of written household routines, and is followed by a short written summary.
The consultant's work is operational. The sessions do not address financial planning, legal interpretation, or any other regulated subject. The output is a practical set of written routines the household can follow and maintain independently.
What is included
- Three structured sessions of approximately ninety minutes each
- Written household routines for filing, billing tracking, and shared responsibilities
- Short written session summary issued after each appointment
- Final consolidated routine set provided at programme close
- Operational scope only — no regulated advisory content

Best for
Households where the paperwork is broadly managed but where there is no clear system for how new documents are filed, how bills are tracked, or how household responsibilities are divided. Particularly suited to households that have recently formed or reorganised.

Standards
Protocols that apply across all three engagements.
Signed Engagement Letters
Every engagement starts with a written, signed letter. Scope, sessions, fee, payment schedule, and deliverable are all stated before work begins.
Confidentiality Undertakings
All coordinators sign formal confidentiality undertakings. Household records are not discussed, retained, or shared beyond the on-site engagement.
Household Retains All Records
No document is removed, photographed, scanned, or copied. Every record handled remains in the physical possession of the household throughout and after the engagement.
No Regulated Advisory Activity
Coordinators organise and file documents. They do not comment on financial standing, legal status, tax position, or any other regulated subject.
Written Output at Every Close
Each engagement closes with a document issued to the household. The summary or structure document describes what was done and is retained by the client, not by Quietharbor.
Scope Held Throughout
Any work beyond the agreed scope is discussed, documented, and approved before it proceeds. Coordinators do not add to the engagement scope independently.
