Privacy Policy

This document describes how Quietharbor collects, uses, stores, and handles personal information in the course of providing household documentation and administrative support services.

Who We Are

Quietharbor is a household documentation coordination practice based in Kuala Lumpur, Malaysia. Our registered address is Suite 12A, 65 Jalan Hang Tuah, 50100 Kuala Lumpur. We provide administrative, informational, and archival support to households — we do not provide regulated services of any kind.

We are committed to handling personal information responsibly and in a manner consistent with the Personal Data Protection Act 2010 (PDPA) of Malaysia. This policy explains our practices in plain terms.

Information We Collect

We collect personal information only when it is directly necessary for the engagement at hand. The categories below describe what we may hold at any stage of a working relationship.

What This Includes

Contact details

Name, telephone number, and email address provided when making an enquiry or booking an engagement.

Household address

The address at which on-site coordination sessions take place, collected only when a visit is confirmed.

Correspondence

Notes and written summaries exchanged during the course of the engagement, including information about filing categories discussed on site.

Website usage

Technical data collected automatically when you browse this website, including approximate location, browser type, and pages visited. See Section 7 on cookies.

How We Use Information

We use personal information for the following purposes only:

  • Responding to enquiries submitted through our contact form or by telephone.
  • Arranging and confirming on-site coordination sessions.
  • Producing the written deliverables that form part of each engagement (annual summaries, filing structures, household routine documents).
  • Sending administrative communications directly related to a current or recently completed engagement.
  • Maintaining internal records for our own operational purposes, including billing and scheduling.

We do not use personal information for marketing, profiling, or any purpose beyond the engagement itself. We do not send unsolicited communications.

Information Storage

Engagement records are retained for a period of three years from the conclusion of the most recent engagement. After this period, records are reviewed and removed unless there is a specific administrative reason to retain them for longer.

Enquiries that did not result in a confirmed engagement are removed from our records within six months.

Physical notes and printed deliverables produced on site are either handed to the household at the close of the session or, where retained by us for follow-up work, stored in a locked filing cabinet at our Kuala Lumpur office.

Digital correspondence is held on password-protected systems accessible only to the coordinator assigned to the engagement.

Sharing of Information

We do not sell, rent, or transfer personal information to any third party for commercial purposes. Information may be shared in the following limited circumstances only:

  • With a colleague coordinator within Quietharbor who is covering a session on behalf of the assigned coordinator, and only to the extent necessary to carry out the session.
  • Where required by applicable Malaysian law or by a lawful request from a competent authority.

In no circumstance is household paperwork, document content, or session notes shared outside of Quietharbor without the explicit written consent of the household.

Your Rights

Under the Personal Data Protection Act 2010 and as a matter of our own practice, you have the following rights in relation to personal information we hold about you:

  • Access. You may ask us at any time what information we hold about you and request a copy of it.
  • Correction. If any information we hold is inaccurate or incomplete, you may ask us to correct it.
  • Withdrawal of consent. Where processing is based on your consent, you may withdraw that consent at any time without affecting the work already carried out.
  • Deletion. You may request that we remove your records earlier than our standard retention period, subject to any legal or operational obligations we have.

Cookies

This website uses a small number of cookies to support its basic operation. We do not use advertising cookies or cross-site tracking technologies. A full description of the cookies in use is available in our Cookie Policy.

You may manage your cookie preferences through your browser settings at any time. Disabling cookies will not prevent you from using any part of this website.

Third-Party Services

This website may load resources from third-party providers used in its construction, including font delivery services and map embeds. These providers operate under their own privacy terms. We have selected services that are widely used and maintain publicly documented privacy practices.

We do not embed social media widgets, advertising networks, or tracking pixels from third parties.

Changes to This Policy

We may update this policy from time to time as our practices develop or where required by changes in applicable law. When we make meaningful changes, we will update the "Last reviewed" date at the top of this document.

We recommend checking this page periodically if you have an ongoing engagement with us.
